AI Assistant for Travel Advisors

By the TripTended team

TripTended’s assistant works alongside your trip records. Use it for a specific question or a draft you can inspect, then check the result against the records that support it. The useful question is whether the request produced the right answer or saved draft—not whether the conversation sounded confident.

This page helps you choose a task to evaluate, prepare its inputs and decide whether the result is ready for the next step.

Choose a task with a result you can check

Start with one trip and one outcome. A request to “handle this trip” leaves too many decisions unstated. A request to summarize the records for a named trip, or change one specified day in its draft, gives you something concrete to review.

Task What to provide What to inspect afterward
Read an existing trip The trip you mean and the question you need answered The response against the actual trip records; any missing or conflicting information
Prepare two proposal options Reviewed supplier quotes and the details that belong in each option The saved draft, quoted totals and currencies, source references, and missing terms
Update one itinerary day The selected trip, day and exact changes, with supporting details That day’s saved draft and the rest of the itinerary; the client-facing version still needs your review

These tasks have different starting points. Reading a trip does not require a proposal draft. Preparing an option requires usable quote information. A day edit requires an existing itinerary and an unambiguous target day. If the starting information is missing, gather it before asking for a finished result.

Prepare the sources before asking for a draft

Open the trip’s Files and review the material you intend to use. Check the original wording, not just an extracted summary. Confirm which quote or confirmation is current and identify any conflicting versions.

For a proposal, check the quoted total, currency, travel dates, included services and any stated validity or payment deadline. Missing terms remain missing. Do not ask the assistant to infer a payment arrangement from a headline price or treat an expired quote as a current offer.

Keep the input narrow enough to inspect. Two reviewed quotes with clear differences are a better first evaluation than a folder whose contents you have not checked. If the supporting source changes, review the affected draft again.

Give the request a clear scope

The following prompts are illustrative request patterns, not transcripts of successful runs. Replace the bracketed fields with your actual records. They do not guarantee a particular response or credit cost.

Read before editing

For [trip name], summarize the current itinerary and identify details
that are missing or conflict with the trip records. Do not change records.
If you cannot find the trip or answer a question from its records, say so.

Prepare options from reviewed quotes

For [trip name], prepare two proposal options using the reviewed quotes
[source A] and [source B]. Keep each option's quoted total and currency
together. Include only terms supported by those sources. List missing
validity dates or payment terms instead of inventing them. Save a draft
for my review; do not publish it or book anything.

Change one day

For [trip name], update [day/date] in the itinerary draft with
[specific change], using [reviewed supporting details]. Keep the other
days unchanged. If the target day or a required detail is ambiguous,
ask before editing. Leave the result as a draft for review.

Avoid including passport numbers or unrelated personal information in a prompt. Choose the records needed for the task rather than adding sensitive details for context.

Review the result outside the conversation

An answer and a saved business result are different things. For a read request, compare the response with the trip. For a write request, open the relevant saved draft and inspect it before using it with a client.

Use this five-point review:

  1. Target: Is this the correct trip, option or day?
  2. Evidence: Do the dates, amounts and terms match the supporting records? Check each amount together with its currency.
  3. Gaps: Are unknown details still identified, rather than presented as facts?
  4. Scope: Did only the requested draft content change? Check the other days or options when relevant.
  5. Next step: Is the result still awaiting your review, supplier follow-up or publication decision?

If the trip or draft changed during a request, review the latest version before trying again. If the assistant cannot finish, inspect what was actually saved instead of assuming that a reassuring message completed the work.

Keep business decisions separate

The assistant does not book or cancel supplier arrangements, move client money, verify that a payment arrived, publish a client page or mark a trip Ready. A client choosing an option does not establish supplier confirmation. A receipt does not establish a verified payment.

You still need to check arrangements in the appropriate external systems and make the relevant advisor decisions. Use the trip-delivery workflow to see how source review, client decisions, supplier confirmations, payment verification and final delivery fit together.

Evaluate usage with a small request

Assistant credits are a usage budget. A proposal or day edit does not have a guaranteed fixed credit cost. Check the request’s allowance information and the recorded usage after completion before estimating a larger workload.

The pricing page explains the paid plans and limited trial. Choose one task you can review end to end, record the outcome and usage, and decide whether it fits your work. You can continue using the conventional trip pages when the assistant is unavailable.
