Trip Readiness Checklist Template: Keep a Review Log

By the TripTended team

Use this free CSV template to record what you checked before departure, which evidence supported the result, and what still needs attention. It is for travel advisors who need a saved checklist they can revisit or hand to another advisor. No account is required to download the blank file.

The template keeps each review separate from the item being reviewed. If new evidence changes the basis of a check, add a review row linked to the earlier one. You can then see both what was known before and what needs checking now.

If the download is unavailable, copy the CSV below.

The file has 15 columns and five starting rows, all marked Not reviewed. Open it in your spreadsheet application, or copy the CSV below into a text file and save it with a .csv extension. This is a standalone worksheet, not a TripTended import format or a software trial.

Review ID,Trip reference,Item reference,Review area,Scope and comparison,Evidence references and versions,Result,Reviewer,Reviewed at with time zone,Open question,Next action,Action owner,Next check with time zone,Replaces review ID,Recheck reason
R-01,,I-01,Approved scope and supplier arrangements,,,Not reviewed,,,,,,,,
R-02,,I-02,Traveler and arrival information,,,Not reviewed,,,,,,,,
R-03,,I-03,Financial record review,,,Not reviewed,,,,,,,,
R-04,,I-04,Changes and follow-ups,,,Not reviewed,,,,,,,,
R-05,,I-05,Client-facing itinerary and documents,,,Not reviewed,,,,,,,,

These five areas are starting prompts, not a complete list of requirements for every trip. Add rows for the services, travelers, obligations and documents that need separate evidence. Keep references in an authorized workspace; the worksheet does not need passport numbers, card details or private access tokens.

Fill one row for each specific check

Begin with one trip and the current applicable approved scope. Replace the starting prompts with concrete comparisons, such as a named transfer against its supplier response. Do not use a single “suppliers checked” row when different services have different results. For the broader method, follow the pre-departure review guide.

Columns How to fill them
Review ID; Trip reference; Item reference Give each review row a unique ID. Keep the item reference stable across later reviews of the same check, and identify its trip.
Review area; Scope and comparison Name the area and the exact service, traveler, obligation or document being compared. State what a matching result would need to support.
Evidence references and versions Identify the actual sources and the approved or client-facing versions used. A document name alone may not distinguish an earlier copy from the current one.
Result; Reviewer; Reviewed at with time zone Use the labels below. Enter the person and actual review time when a check occurs; do not prefill a completed review. Keep the time zone explicit.
Open question; Next action; Action owner; Next check with time zone Say what is missing, who will obtain or check it, and when they will revisit it. Choose that point from the applicable terms and your operating process.
Replaces review ID; Recheck reason On a later review row, identify the previous row and why its basis needs checking again. Leave these blank for the first review of an item.

If the necessary record is missing, record that gap and the next action. If you cannot establish which source version applies, keep the question open rather than treating the last file received as authoritative.

Choose a review result

Worksheet label Meaning within this worksheet Record to keep
Not reviewed The comparison has not been performed The item to check and the assigned next action
Open A comparison found a missing, conflicting or unverified result The exact gap, available evidence, owner and next check
Reviewed The comparison was performed and no unresolved issue remains within the stated scope Sources and versions, reviewer and review time
Not applicable This specific check does not apply to the stated scope The reason in Scope and comparison, with reviewer and review time

These are suggested worksheet labels, not product status names. Reviewed does not establish that the whole trip is ready. Client approval, supplier confirmation, payment verification, client-page publication and Trip Ready remain separate decisions and records. A receipt alone is not a verified payment, and a reminder alone is not a resolved follow-up.

Keep the earlier review when evidence changes

Save the current log before making a new review. Add a new row with a new Review ID, the same Trip and Item references, and the earlier Review ID in Replaces review ID. Record the new evidence and why it affects the check. Start the new row as Not reviewed, or Open once you have identified a gap; do not copy the earlier Reviewed label into it.

Keep earlier rows in the history. For a current handoff, show the latest review row for every item, including rows still marked Not reviewed or Open. Do not filter only for Open: that would hide checks nobody has performed. If two later rows both claim to replace the same review, resolve which one is current and record that resolution before relying on the handoff.

After the affected comparison is performed, fill in its actual result and reviewer details. Preserve a dated copy of the log for the review you are handing over. For a change to the agreed service itself, use the client change workflow; for the version the client can receive, use the itinerary version guide.

Try the fictional recheck

This is a worksheet exercise, not a customer trip, supplier confirmation or product test. Assume an advisor previously checked source S1 against approved version V3 for one transfer. Both stated 14:00 in the same stated local time zone. A later source S2 now states 15:00; the applicable time and its effect on the approved plan have not been resolved.

Review Item Evidence and result History link
R-10 DEMO / TRANSFER-01 S1 compared with V3: Reviewed for the earlier scope; retain the original reviewer and time First review
R-11 DEMO / TRANSFER-01 S2 differs from V3: Open; advisor must clarify the applicable time and affected client information Replaces R-10 because a later source reports a different time

In the current handoff, show R-11 for TRANSFER-01. Retain R-10 as history; it is not evidence that the 15:00 arrangement is accepted or confirmed. Put the assigned advisor, exact question and actual follow-up point in R-11. Keep the item open until the required comparison and any related decisions are complete.

Before using your own copy, check that it can show these three situations: an untouched starting row remains Not reviewed; a missing source stays Open with a next action; and a changed source has a new row linked to the earlier review. If a copy or filter hides one of those situations, fix the log before handing it over.

Write the handoff note

Copy this note beside the saved log and fill it from the latest rows. Keep an unknown result visible. Do not turn a count of completed rows into a readiness decision.

The output is a review log and an actionable handoff. Booking, payment verification, publication and an advisor’s readiness decision still follow their own authorized processes. The worksheet does not update those systems or establish destination entry, health or document-validity requirements.
